How Can The Right Phone System Make Life Easier for a Small-to-Medium Business?

Posted on: July 7th, 2016 by Melissa Tavares No Comments

When you ask small business owners about their communication needs, several key themes emerge. First of all, they want a system that works! It must be reliable, and something they don’t have to worry about during evenings and weekends.

Another recurring theme, is having a system that can grow and develop with the business. Having to replace a phone system every few years, is not the ideal scenario for a busy, fast-growing business that has low tolerance for any downtime or unplanned financial surprises.

Something else that increasingly comes up is the concept of delivering a great customer experience. Typically, the leadership of the organization have come to the realization that having the best widget at the right price is no longer enough. In today’s highly competitive marketplace, the service wrapper that the company puts arounds it products and solutions has become the key differentiator. This is a trend that all the latest researchers and analysts agree with-delivering superior customer experience results in vastly improved revenue and profit performance.
So there we have it. SMBsHow-Can-the-Right-Phone-System-Make-Life-Easier-for-a-Small-to-Medium-Business want reliability, flexibility and the ability to deliver outstanding customer experience.

The question is, how do we help deliver this with a business phone system? The answer lies in the software that surrounds the PBX (private branch exchange), which is where the industry-leading manufacturers are directing their efforts. This is an entirely logical response, as there’s a limit to the functionality that can be put into a PBX-It’s the applications surrounding the system that deliver the more advanced functionality that SMBs are clamouring for.

Recently, experts from Mitel met with SMB customers, and they took some time out to record an industry expert explaining the suite of applications which bring Mitel’s MiVoice Office 250 to life, which help SMBs enjoy increased levels of productivity and revenue growth while delivering great levels of customer experience:

Are you Unhappy with Your Current Hosted PBX Provider? Tel-e Connect Systems can help.

Posted on: June 1st, 2016 by Melissa Tavares No Comments

Hosted PBX or Cloud PBX has now been in the business mainstream for several years.  You may now be reaching the point where your contract is expiring, or you’re experiencing VOIP problems or you’re just not satisfied with your current provider and are looking for another Toronto area VOIP provider.  A lot has changed since Hosted PBX first arrived in the market.

Some important points to consider:

Customer Service:  Is your current provider offering quality and timely support?  Are the support representatives knowledgeable, professional and courteous?  Many cloud phone system providers outsource their customer service to third parties; often these third parties are across the globe.  TCS offers 24/7 local support by a team of qualified, experienced technicians and knowledgeable customer service specialists.  There are many benefits of choosing a local provider.  While there have been tremendous advancements in technology, and remote troubleshooting tools are very useful, there is still the occasional need to have a technician visit your premise.  With voice now combined with data on one network a change in one can cause issues with the other.  Choosing a local provider means you can have any potential issues dealt with quickly with minimal disruption.

High Cost:  Many customers pay a premium for their hosted phone service.  Some providers start out at a low price but slowly raise prices over time.  Or perhaps your hosted PBX provider increased your price after your contract expired.

Remember too, that with a Hosted PBX solution, all of the hardware is housed in data centre and maintained by the provider, which means no expensive premise-based equipment to replace.  You can even keep your phones and simply move your phone numbers over to your new provider.

Tel-e Connect Systems would be happy to set up a free assessment and discuss your options.  Give us a call.

3 Common Myths About VoIP Systems

Posted on: April 17th, 2015 by tcscanada No Comments

3 Common Myths About VoIP SystemsMany businesses are hesitant to install a VoIP system, simply because they have heard incorrect information. There are a few misconceptions that keep going around, and we’re here to debunk them, once and for all. Here are some of the most common myths about VoIP systems, and why they are all wrong:

Myth #1: VoIP Systems are Expensive to Setup and Maintain

Setting up a VoIP system for your business is not any more expensive than upgrading an old system, and the maintenance and upkeep is not costly, either. What is important is that you choose a telecommunications system that benefits both your customers and your team, and with voice over internet protocol, you’re making a smart choice. It’s modern, convenient, and cost-effective in the long run.

Myth #2: The Quality is Poor and Unreliable

When VoIP service was just starting to come in to the mainstream, there were concerns about sound quality, but those days are long gone! The quality that you will enjoy with a VoIP system is absolutely on-par or even better than the call center systems of the past. VoIP is a modern technology, and one that has been tried and tested for many years to ensure that it can and will deliver top quality. Once properly installed, you can have confidence in the reliability of your VoIP system.

Myth #3: VoIP Systems aren’t Secure

Security is a priority for all business owners these days, so it makes sense that there would be concerns about the security of VoIP systems. However, you can put yours fears to rest, because there are many safety protocols in place to ensure safety and privacy. Just as technology has developed and evolved so have the security advances in areas like encryption and firewalls. Using a VoIP system is very secure.

Millions of businesses have made the switch to a VoIP system. With these common myths debunked, you should feel confident in doing so, too.

Premises-based Business Phone system vs.Hosted IP/PBX

Premises-based Business Phone system vs.Hosted IP/PBX

Deciding between a Hosted IP and Premise-based Solution

Buying a Hosted IP/PBX phone system can be challenging. One critical decision that must be made is to determine which is better for your business: a premised-based business telephone system (in which the hardware appliance is kept on-site in your server closet), or a Hosted IP/PBX Solution (where your phones connect through your Internet connection to your provider (TCS) that maintains the equipment at an off-site cloud data center). Educating yourself on the benefits and potential challenges that come with using either a premises-based or cloud phone system can help you make a good decision to ensure your business needs are met and you get the greatest value for your investment.

The first and most important task is to understand which features are offered. Many Hosted PBX providers don’t offer the same features in their hosted product as they do for their premises-based solution. If critical business communications features like queues, IVRs and conferencing are missing, or cost extra, then the product may not be a viable solution. TCS’s Hosted IP/PBX Solution offering comes with all UC features included so you don’t have to worry about lack of features when choosing a cloud solution.

Upfront Cost

Hosted IP/PBX solutions have a low upfront cost and are typically charged as a monthly fee per user. Above a certain threshold it becomes more cost effective to purchase your own equipment than to pay a monthly fee. Hosted IP/PBX tends to be the most attractive for businesses with 5 to 15 employees. However, many large businesses with 100 or more users often choose a cloud phone system due to other advantages. It is always best to speak with a knowledgeable Hosted IP specialist who can help you weigh the unique aspects of your business to help you decide.

Total Cost of Ownership (TCO)

A Hosted IP/PBX Solution can often have a very low total cost of ownership due to the savings in IT personnel and because your provider takes care of server configuration and maintenance. Depending on the size and structure of your business this can be an advantage of Hosted IP/PBX over premise-based VoIP.

Finally, consider how your business may grow in the coming year. If there is potential for rapid growth you will need to consider how this will impact your purchase. If going with a premise-based solution, you will likely want to purchase a larger appliance than is initially needed to accommodate growth. With hosted IP/PBX, new users can be added to the cloud phone system as needed. A unique advantage of TCS’s Hosted IP/PBX solution is the fact that the same software is running on both the cloud version and the on-site, premise-based version. This allows for seamless integration. Users at the main office can be on a dedicated server running on the premises in your IT closet while users at the remote office have their phones connected to the cloud. By peering the cloud instance to the on-site server users will have a uniform experience regardless of which technology they are connected to.

Purchasing the right phone system is important for the success of your business. There are many factors that come into play when deciding between a premises-based and cloud VoIP phone system. Each has its strengths and weaknesses. To make the best decision contact TCS for a free consultation with a Hosted IP/PBX Specialist. They can provide you with additional information, tips, and advice regarding your communications needs to ensure you end up with the best phone system for your business.

Has Your company Outgrown Your Business Phone System?

Posted on: November 12th, 2014 by tcscanada No Comments

As a business owner, your time is valuable and quite often limited.  Oftentimes, you become so engrossed in your daily routine, that you don’t realize just how much your business has grown.

The moment you realize that you’re more successful this year than you were the last is a glorious one.  However, you may realize that your business is outgrowing some of the things that make it run: the office, the size of the staff, the servers…and, even the business phone systems.

If you suspect your company might be due for an expansion and/or upgrade, here are some ways to tell.

You Can’t Keep Up with Customer Service

A lot of incoming customer calls is a good thing.   Having your phone system limit what you can do, is not a good thing. For any business, large or small, it’s important to ensure that your employees can receive calls whether they’re working from home, a hotel room, or the office. It’s also important to make sure that your business phone system can handle a higher volume of calls. If you’re receiving more and more phone calls each day, but not every call is being quickly answered, it may be time to upgrade.

Your Phones Don’t Integrate

It’s important to keep up with technology to streamline the processes of your business. If your business phone system doesn’t integrate with your cloud and your business’s software or CRM system, then it is definitely time to upgrade! A growing business needs a phone system that is easily integrated so you can keep track of all communications and update your business phone systems easily. Growth means change, and you need a system that can adapt to change.

You’re Having Trouble Tracking KPIs

It may be important for you to track how many calls each employee is taking and how long these calls are lasting for.You need a system that integrates with your office suite so you can keep track of these things, reward your hard-working employees, and identify what needs improvement.

Your Phones Drain Time

In a nutshell, if your business phone system requires you to do something manually, then it’s not going to be sustainable in the long run. Get something that works fluidly with everything else in your office so that it’s the farthest thing from your mind when hiring new employees and taking on new clients.
